How to switch CRMs with Ease

Today, we’re diving into the wonderful world of switching CRMs and specifically, transitioning from your current system to one that will grow along side your business that is Dubsado.

As the Leader of Partnerships & Community for Dubsado (plus your girlfriend with a plan for your business & systems), I’ve got all the deets you need to make this transition as smooth as people find working with your photobooth company is!

But first, what is a CRM?

CRM stands for Client/Customer Relationship Management. This is where you can and should manage clients from the time they are leads all the way through them sending your raving testimonials. Sometimes a CRM will not be able to do all of this due to the lack of automations & personalization. But that is not the case with Dubsado. It truly is not only a CRM with heart that cares for the community but one that will grow along side your business.

Step 1: Evaluate your current CRM 

Before diving into even switching your CRM,  let’s take a moment to evaluate your current CRM situation. Ask yourself, “Is this CRM bringing me the joy and functionality I crave?” If the answer is “nah, not really,” then it might be time for a change.

But remember, not every CRM is right for every person. Even though I love Dubsado it may not be the right platform for your business needs. So here is what I always recommend you do:

Create a CRM desirables list.

Write out everything you want to have in a CRM and then way the pro’s and con’s of ones you are looking at (like Dubsado) and see which tool has the most of your pro’s.

Then that is the one you should go with! 

Step 2: Create your game plan

Switching CRMs isn’t something you want to dive into headfirst without a solid game plan. Trust me, I’ve made that mistake before when it comes to tech tools, and let’s just say it wasn’t cute.

But when it comes to moving from one platform into Dubsado I have that one down and I am spilling exactly what I recommend to do and in the exact order I have personally done with 50+ clients:

1. Outline your workflows. This is your ideal client journey you want clients to go through from lead to testimonials. I always recommend to break these up into phases within each service. For example:

Inquiry (Virtual Photobooth)

Discovery Call (Virtual Photobooth)

Booking (Virtual Photobooth)

Onboarding (Virtual Photobooth)

Event (Virtual Photobooth)

Post Event (Virtual Photobooth)

Outline the steps you would like to see happen in each of these phases. Once you have these steps you can look into Dubsado Workflow actions and triggers to see what is possible and how to make it happen.

2. Migrate Forms. If you are already using forms in your current CRMs it is time to create these in Dubsado. Learn Dubsado’s form builder and start plugging in your forms design & copy. *Do not forget those contracts!

3. Write all canned emails (based on workflow outline above). These are templated emails that can go out automatically through workflows and schedulers.

4. Set up schedulers. These are how your leads and clients can book calls with you directly in Dubsado! Using their scheduler allows you to send schedulers through workflows to be able to watch for calls to be scheduled and trigger other actions based on your calls

5. And last, is learning all of the other features in Dubsado like: Domain Settings, Calendar integration, Client Portal, Custom Mapped Fields and so much more!

Step 3: Team training & support

Once your Dubsado is set up we always recommend walking your team through the new set up! Create a video going through how your workflows automate, where they can find their to-dos and anything else that would be helpful for them!

But listen, I get it. Getting your systems hands dirty like this might feel a bit overwhelming, especially for your team. But worry not, because Dubsado offers top-notch training and support like no other.
